Agile Reptile Pty Ltd ("we", "us", "our") provides websites, CRM, automation, AI receptionist and Google service setup, and account audit services to small businesses in Australia. We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

We collect information you give us directly, such as when you:

• Book a discovery call or submit a contact form
• Sign up for a service or request an account audit
• Upload accounting, billing or subscription files for an audit
• Communicate with our AI receptionist or website chat
• Subscribe to our blog or newsletter

This may include your name, business name, email address, phone number, billing information, and, for account audits, financial records such as invoices, statements and subscription details. We also collect limited technical information automatically (IP address, browser type, pages visited) via analytics tools such as Google Analytics.

Where you provide accounting, billing or subscription data for an audit, that data is used only to identify overpayments, duplicate charges and missed refunds, and, with your authorisation, to pursue recovery on your behalf. We do not use audit data for any other purpose, and we do not sell or share it with third parties for marketing purposes.

Calls and chats handled by our AI receptionist and website chat tools may be recorded, transcribed and processed by third-party AI service providers in order to answer enquiries, qualify leads and book appointments. Transcripts and summaries may be retained to improve accuracy over time. Where a call or chat involves sensitive information, we take reasonable steps to limit retention and access.

We may disclose personal information to:

• Service providers who help us deliver our services (hosting, CRM, payment processing, AI/automation platforms, analytics)
• Professional advisers where required to deliver a service (e.g. pursuing an audit recovery)
• Government or regulatory bodies where required by law

Some of our service providers may store or process data outside Australia (for example, cloud hosting or AI providers based in the United States). Where this occurs, we take reasonable steps to ensure those providers handle information consistently with the APPs.

We take reasonable technical and organisational measures to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure, including encryption in transit, access controls and regular review of our systems.

You can request access to, or correction of, the personal information we hold about you at any time by emailing hello@agilereptile.com. We'll respond within a reasonable timeframe and in accordance with the APPs.

Our website uses cookies and similar technologies (including Google Analytics and Google Tag Manager) to understand how visitors use the site and to improve it. You can disable cookies in your browser settings, though some site functionality may be affected.
